Our client a leading South African Restaurant and Hospitality Wholesaler supplying meat and other food products is urgently looking for the expertise of a Dispatch Supervisor to join their team.

REPORTS TO       DISPATCH MANAGER

JOB PURPOSE   

To supervise the loading of orders from dispatch to customers.

ROUTINE TASKS

  • Maintain workflow by motivating drivers and vehicle loading assistants to work fast and correctly.
  • Check that drivers and vehicle loading assistants are at work and report absentees timeously to Dispatch manager.
  • Ensure that drivers and vehicle loading assistants plus you are wearing clean undamaged protective clothing as per company policy.
  • Source completed invoices from invoicing personnel.
  • Ensure that all routes are documented on the trip sheet allocated to the delivery route.
  • Ensure that all individual orders are marked off on the correct invoice copy when loading.
  • Ensure that drivers and vehicle loading assistants adhere to your instructions and perform their duties as per their job descriptions.
  • Coordinate and control loading of final orders.
  • Ensure products is checked for deviations from quality standards such as labels, lot or batch numbers and packaging before loading.
  • Ensure all products are correctly weighed before loading.
  • Ensure good housekeeping practises in the dispatch area.
  • Implement and maintain measures to reduce wastage of and damage to stock being loaded.
  • Ensure that temperature controls for the dispatch area and all products to be loaded are adhered to.
  • Train new personnel in loading actions.

QUALITY, FOOD SAFETY AND HEALTH & SAFETY

  • Manage, maintain and enforce food safety procedures and requirements in the dispatch area and on the delivery vehicles plus drivers and vehicle loading assistants.
  • Manage, maintain and enforce quality policies, procedures and requirements in the dispatch area and for all products in this area plus all vehicles and staff working in this section.
  • Manage, maintain and enforce Health & Safety legal requirements plus company procedures in the dispatch area and for all delivery vehicles.
  • Ensure that all food safety and quality documents are completed timeously.

EQUIPMENT

  • Ensure that all equipment and vehicles are clean and in good working order.

GENERAL

  • Attend weekly meetings with Section Supervisors.
  • Attend weekly management planning meeting with Dispatch Manager.
  • Identify and resolve any inventory discrepancies and ensure inventory and system records agree.

HOUSEKEEPING

  • Ensure that areas under your control or allocated to you are clean, neat and tidy at all times.
  • Ensure that the areas under your control are left in a clean and neat condition at the end of every working day.
  • No stock is allowed to stand in the dispatch area after hours; it must be sorted and packed in the freezer and fridges.

KEY PERFORMANCE                      

  • Ensure that loading times are met by loading and dispatch all orders on time.
  • Ensure that quality standards are maintained.
  • Any shortfalls in loading actions to be reported to the Dispatch Manager immediately.
  • Minimize damage by controlling loading actions on a daily basis.
  • No orders to be loaded without correct paperwork in place.

STOCK TAKING  

  • Assist with month end stock take in your area of control.

OTHER

Perform any other reasonable tasks as instructed and requested by the Dispatch Manager.

REQUIREMENTS:

  • Computer literate
  • Must have own car
  • Working hours afternoon shift: 14h00 to 23h00
