ENVIRONMENT:
A renowned digital command hub based in Cape Town is seeking a highly organized and proactive Personal Assistant to provide comprehensive administrative and organizational support to the Advisory Associate.  The ideal candidate will be a skilled multi-tasker with excellent communication and interpersonal skills.
 
DUTIES:
Calendar Management:
  • Efficiently manage and prioritise the executive’s schedule, including meetings, appointments, and deadlines.
  • Coordinate and schedule meetings, both internal and external, ensuring timely invitations and reminders.
  • Anticipate potential scheduling conflicts and proactively resolve them.
 
Travel Arrangements:
  • Book and manage domestic and international travel arrangements, including flights, accommodations, and ground transportation.
  • Obtain necessary visas and travel documents.
  • Coordinate itineraries and ensure seamless travel experiences.
 
Correspondence:
  • Draft, proofread, and edit correspondence, including emails, letters, and presentations.
  • Respond to inquiries and requests on behalf of the executive as needed.
  • Manage incoming and outgoing mail.
 
Administrative Tasks:
  • Handle administrative tasks such as filing, photocopying, and scanning documents.
  • Maintain an organised and efficient filing system.
  • Manage expense reports and reimbursements.
 
Event Planning:
  • Assist in planning and coordinating events, meetings, and conferences.
  • Manage guest lists, RSVPs, and event logistics.
 
Confidential Matters:
  • Handle sensitive and confidential information with discretion and professionalism.
  • Maintain strict confidentiality at all times.
 
 
REQUIREMENTS:
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
 
ATTRIBUTES:
  • Proven experience as a Personal Assistant or similar role.
  • Strong organisational and time management skills
  • Excellent written and verbal communication skills
  • Ability to multitask and prioritise tasks effectively.
  • Strong attention to detail.
  • Discretion and confidentiality. 
  • Flexibility to work irregular hours as needed.
