Project Administration
- Execute the project administration process, consolidating procedures and work schedules to support the successful delivery of projects.
- Track and manage project documentation, ensuring all information is available and up to date.
- Create and provide standard templates, tools, and techniques to execute project work efficiently.
- Set goals and timelines, select appropriate resources, schedule project meetings, and evaluate project progress until successful completion.
- Ensure compliance with established standards and procedures.
- Develop and maintain an efficient internal communication system to facilitate continuous information sharing with the management team.
- Coordinate project actions with vendors and suppliers as necessary.
- Ensure project objectives are clearly communicated to all team members involved.
- Attend and contribute to weekly project meetings, providing input and assistance as required.
- Ensure ongoing information sharing and follow-up on action items.
- Operate within established controls and procedures to ensure the integrity of the organization.
- Identify and report risks or areas of concern to management within your department.
- Ensure compliance with relevant regulations and procedures to prevent wasteful or irregular expenditure.
- Monitor cost and expenditure to minimize waste.
- Build and maintain effective working relationships with both internal and external customers, ensuring the highest quality of service.
- Represent the company in meetings with relevant stakeholders.
- Solve problems creatively while demonstrating a high level of integrity and professionalism.
- Maintain high levels of client, customer, and employee satisfaction.
- Ensure all employees have signed performance agreements.
- Conduct quarterly performance appraisals to monitor and measure staff performance.
- Collaborate with HR to identify performance objectives and areas for development, creating action plans as necessary.
- Ensure ongoing training and development for employees and address any employee relations matters promptly and fairly.
- Contribute to the budget preparation process.
- Promote the effective, efficient, and transparent use of financial and other resources.
- Monitor and control expenditure against the budget, reporting any deviations to the manager.
- Explore opportunities to control and reduce costs.
- Continuously optimize business performance to maintain cash flow and meet set financial targets.
Job Requirements
Qualifications:- Minimum: Diploma in Project Administration or a related field (NQF 6).
- Advantageous: Bachelor’s Degree in Project Management or a related field (NQF 7).
- Minimum: Up to 5 years of experience in Project Administration or a similar role, with at least 1-2 years at a supervisory level.
- Proficiency in MS Office Suite.
- Knowledge of Project Management, Planning, and Administration principles and procedures.
