Our client is seeking a highly organised, proactive, and detail-orientated Executive Assistant to support a senior financial planner. The ideal candidate will play a critical role in managing administrative functions, ensuring seamless client interactions, and supporting the efficiency of financial planning operations.
 
Responsibilities:
 
Administrative & Executive Support:
  • Manage the financial planner’s schedule, meetings, and appointments.
  • Screen and handle emails, calls, and correspondence professionally.
  • Prepare and maintain client records, reports, and financial documentation.
  • Assist in drafting and proofing client communication, presentations, and reports.
  • Liaise with clients, product providers, and service providers.
 Client Service & Relationship Management:
  • Act as the first point of contact for clients, providing exceptional service.
  • Handle client queries, follow-ups, and ensure timely responses.
  • Assist in onboarding new clients, including completing compliance and FICA documentation.
  • Maintain an organised CRM system to track client interactions.
Financial & Compliance Support:
  • Assist with investment applications, policy updates, withdrawals, and transfers.
  • Prepare financial planning documents, investment proposals, and risk analysis reports.
  • Ensure compliance with FSCA regulations and industry requirements.
  • Track deadlines for compliance renewals, regulatory submissions, and documentation updates.
Operational & Project Management:
  • Oversee workflow, deadlines, and key deliverables in the financial planning process.
  • Assist in the implementation of systems and processes to improve efficiency.
Education & Experience: 
  • Minimum: Matric (Grade 12) with strong administrative experience.
  • Preferred: Diploma or degree in Finance, Business Administration, or a related field.
  • Experience: 3+ years in an administrative/executive assistant role, ideally in financial services, wealth management, or a professional services firm.
 Key Skills & Competencies:
  • Highly organised with strong attention to detail.
  • Excellent written and verbal communication skills.
  • Strong numerical and analytical skills (for financial reporting).
  • Tech-savvy – proficient in Microsoft Office (Excel, Word, Outlook, PowerPoint).
  • Experience with financial planning software, CRM systems, or investment platforms (advantageous).
