Our client is looking for a Practice & Retail Operations Coordinator, who will be responsible for the operational heartbeat of their wellness practice and retail shop. This role blends client service, administrative precision, and retail expertise, with a focus on supporting Live Blood Analysis sessions and health supplement guidance. Full training will be provided to ensure that the candidate can confidently represent the clients’ brand and products.

 

Key Responsibilities

  • Operational & Administrative Leadership

Appointment Management: Schedule and optimize bookings for wellness coaching and Live Blood Analysis using an online appointment scheduling system, Outlook, and WhatsApp.

Manage reminders, cancellations, and practitioner schedules.

  • Live Blood Analysis & Supplement Support: Assist with pre- and post-session admin, including client preparation and follow-up protocols. Support clients with health supplement recommendations (full product training provided).
  • Debtors & Account Management: Track and manage client accounts. Follow up on overdue payments and keep clear records of communications
  • Retail Operations Support: Receive all incoming stock deliveries and capture them into the inventory management system (GRVs). Coordinate and support regular stock takes.

Act as the system coordinator for our point of sale and inventory management system, helping with training, permissions management, and basic troubleshooting.

Occasionally assist on the retail floor to cover staff breaks or absences.

  • Marketing & Team Collaboration: Capture client information into the email marketing system to support ongoing communication and marketing initiatives. Assist in sending out newsletters, promotions, or reminders as needed. Create engaging social media content, newsletters, and promotions using appropriate graphic design, editing and content creation tools. Work closely with the Founders to innovate processes and enhance client journeys.

 Requirements

  • Fluent in English (written and spoken); Afrikaans is advantageous but not mandatory.
  • 1 – 2 years of experience in operations, retail, or client-facing roles.
  • Proactive mindset: Eagerness to learn about Live Blood Analysis, health supplements, and holistic wellness.

 Knowledge

  • Familiarity with Fresha, Content Creation Tools, or Odyssey (training provided).
  • Basic design or social media skills (e.g., Canva).

 Training

  • Live Blood Analysis protocols and health supplement expertise.
  • Systems onboarding (scheduling tools, POS and inventory management, Content creation tools, AI tools).

 Work hours

Monday to Friday: 9:00 AM – 5:00 PM

Saturday and public holidays 9:00 AM – 1:00 PM (Saturday morning availability and flexibility to work the full schedule)

Salary: market related depending on experience
