Our client is looking for a skilled and detail-oriented Payroll Administrator to join their team. This role is crucial in ensuring the efficient and compliant execution of payroll functions, timekeeping, and benefits administration. The successful candidate will be responsible for overseeing payroll operations, maintaining employee records, and responding to internal and external queries with professionalism and accuracy.

Key Responsibilities

Payroll Administration

  • Ensure payroll services align with company policies and employee expectations.
  • Supervise payroll department staff and oversee daily payroll functions.
  • Process all payroll transactions, including:
    • New hires, terminations, transfers, and employee updates
    • Deductions, allowances, manual payments, and short payments
  • Calculate and process sick leave, maternity leave, and termination benefits.
  • Execute monthly payroll runs and ensure the accuracy of payroll reports.
  • Manage payroll database updates post-processing.
  • Submit electronic salary and wage payments.
  • Generate and upload General Ledger files to SAP.
  • Prepare and file statutory returns (PAYE, UIF, SDL) on a monthly basis.
  • Reconcile and process third-party payments (e.g., taxes, pensions, medical aid, garnishees).
  • Maintain accurate historical records of all payroll and third-party transactions.
  • Conduct monthly and annual reconciliations for SARS, including IRP5s.
  • Prepare journal entries and reconcile payroll with the general ledger.

Time & Attendance (T&A)

  • Maintain and update the time and attendance system, including biometric systems.
  • Monitor employee attendance, resolve anomalies, and authorize overtime and leave payments.
  • Generate and distribute weekly and monthly attendance reports.
  • Coordinate with department heads to verify weekly timesheets.
  • Manage staff onboarding, transfers, and terminations in the T&A system.
  • Report system issues to management and ensure consistent performance.

Benefits Administration

  • Administer company pension, provident, and sick fund schemes.
  • Manage medical aid memberships for pensioners and staff.
  • Process claims related to disability, retirements, withdrawals, and funerals.
  • Reconcile contributions and generate monthly remittance statements.
  • Respond to employee and beneficiary queries regarding benefits.

Query Management

  • Address and resolve payroll-related queries from both employees and management.
  • Make necessary corrections and ensure updates are reflected in subsequent payroll runs.

Candidate Requirements

  • Proven experience in payroll processing and administration.
  • Strong knowledge of payroll legislation, tax regulations, and benefits administration.
  • Proficiency in payroll software (e.g., SAP) and timekeeping systems.
  • High attention to detail and accuracy.
  • Strong organizational and communication skills.
  • Ability to handle confidential information with integrity.
