Job Description:

Our client, a global leader in controlled environments and safety technologies, is seeking to appoint an Executive Administrative Assistant to provide high-level administrative and coordination support to the General Manager and broader business. The successful candidate will play a key role in ensuring the smooth day-to-day functioning of the office, acting as a central coordination point across departments. The role combines executive support, office administration, and generalist coordination across HR and IT functions to support efficient business operations.

Responsibilities:

Executive Support

    • Provide confidential, high-level administrative support to the General Manager
    • Prepare reports, presentations, and meeting materials, including minutes
    • Coordinate travel arrangements and logistics
    • Assist with priority projects and business initiatives
    • Act as a central coordination point across departments 

 

HR Generalist Coordination

    • Support recruitment coordination (scheduling interviews, onboarding logistics)  
    • Assist with maintaining employee records and HR systems  
    • Coordinate training, development, and compliance requirements  
    • Support HR initiatives, engagement activities, and internal communications  
    • Assist with policy updates and general HR administration  
    • On boarding assistance – set up new users in induction system, set up computers and phones and collate welcome packs. 

 

Administration & Office Management

    • Oversee daily office operations to ensure efficiency and professionalism
    • Maintain company records, documentation systems, and policies
    • Manage office supplies, service providers, and facilities coordination
    • Coordinate meetings, boardroom scheduling, and office events
    • Prepare and distribute business-critical documentation
    • Act as the first point of contact for visitors, clients, and new employees

 

IT Coordination

    • Act as the key liaison between staff and IT support providers/internal IT  
    • Coordinate IT requirements for onboarding and offboarding (equipment, system access)  
    • Manage IT asset registers and equipment allocation  
    • Assist with system updates, rollouts, and user coordination  
    • Support basic troubleshooting and escalate issues where required 
    • Support office technology, including printers and phone systems 

 

Requirements: Qualification and Skill

    • Strong organisational and time management skills with the ability to prioritise effectively. 
    • Exceptional attention to detail. 
    • High level of professionalism and communication skills, with the ability to build relationships across all levels  
    • Proactive, adaptable, and able to manage competing priorities  
    • Tech-savvy, with confidence in using business systems and coordinating IT matters  
    • Discreet and professional when handling confidential information 
    • Proficiency in Microsoft Office and general business systems
