Stores Management:
- Supervise the day-to-day operations of the stores department in line with FSSC 22000 requirements.
- Ensure the stores department are clean, and organized, with raw material displayed according to company guidelines.
- Manage and coordinate the receipt, storage and dispatch of raw material to ensure timely order fulfilment.
- Ensure efficient space utilization.
- Ensure timely delivery of raw material and resolve any supply chain issues.
- Ensure and maintain accurate raw material inventory levels by conducting regular cycle counts and reconcile with the inventory management system.
- Minimize obsolete and expired stock in line with FSSC 22000 requirements.
- Ensure that staff adhere to the FIFO and FEFO principles.
- Oversee the factory warehouse operations including the receiving of finish goods from production and the distribution of finished goods to the distribution centre, in compliance with FSSC 22000 requirements.
- Ensure that all factory warehouse operations are conducted safely, efficiently, and in compliance with FSSC 22000 requirements.
- Implement continuous improvement processes to enhance the factory warehouse operations and productivity.
- Ensure timely and accurate dispatch of finished goods to the distribution centre.
- Oversee and manage the returns of damaged finished goods in compliance with company procedures and FSSC 22000 requirements.
- Implement, and maintain an effective document control system that complies with FSSC 22000 requirements.
- Ensure all records related to stores and factory warehouse operations (e.g., receiving documentation, inventory records, dispatch documentation,) are accurately maintained, up-to-date, and easily retrievable.
- Regularly review and update Standard Operating Procedures (SOPs) for stores and the factory warehouse activities, ensuring they reflect current practices and comply with food safety standards.
- Coordinate with the Quality Assurance team to ensure that all documentation meets internal and external audit requirements.
- Train stores and factory warehouse staff on the importance of accurate record-keeping and document control in relation to food safety.
- Manage employee relations within stores and factory warehouse, ensuring adherence to company policies and procedures.
- Serve as the primary point of contact for employee concerns, grievances, and disciplinary actions, ensuring that they are handled in accordance with company policy and legal requirements
- Plan, organize, and control the day-to-day activities of the stores and factory warehouse team.
- Conduct performance reviews, set goals, and provide feedback to stores and factory warehouse staff on their performance.
- Manage staffing levels to meet operational requirements, including hiring and training new employees.
- Conduct regular training sessions on stores and factory warehouse operating procedures.
- Foster a positive work environment that encourages teamwork, accountability, and continuous improvement.
- Ensure that all stores and factory warehouse operations comply with health and safety regulations.
- Take part in regular safety audits and risk assessments and implement corrective actions as necessary.
- Ensure that all stores and factory warehouse staff are trained on health and Safety policies and procedures.
- Ensure the stores and factory warehouse departments operates in accordance with health
and safety regulations in line with FSSC 22000 requirements. - Ensure compliance with all relevant legal and company standards, including environmental regulations.
- Lead initiatives to promote a safe working environment and reduce workplace accidents.
- Coordinate with other departments to ensure smooth operations and resolve any issues that arise.
- Provide regular updates and reports to senior management on stores and factory warehouse operations.
- Bachelor’s degree/Diploma in supply chain management, Logistics, Business Management or a related field.
- Minimum of 3 or more years’ experience in warehousing and inventory management, preferably in a FMCG environment.
- In-depth understanding of FMCG industry requirements for stores, warehousing, and distribution processes.
- Proficiency in Microsoft Office and ERP systems.
- Valid Driver’s license.
- Strong knowledge of FSSC standards and requirements and the ability to ensure compliance in all areas of responsibility.
